  1. The Problem We completely get that feeling of being constantly rushed, yet making no real progress. You face deadlines shouting “Now!”, important tasks without a clear deadline that never see the light of day, small nagging tasks that drill into your mind, and long-term goals that seem like distant dreams. It’s frustrating to feel like you’re working, but not knowing if you’re working on the right things. You want to prioritize, but the “noise” of everything prevents you.

  2. The Action Plan To untangle the mess and bring order, we’ll follow a simple, logical three-phase flow:

  3. Complete Brain Dump: The first step is to get absolutely everything out of your head. Write down every task, pending item, idea, or reminder, no matter how small. This frees your mind from the burden of remembering them and allows you to see the true scope of what lies ahead.

  4. Smart Classification: Once you have the list in front of you, you’ll classify each item according to two basic criteria: its urgency (does it need to be done now, or can it wait?) and its importance (what impact does it have if it’s not done, or if it’s done well?). This allows you to differentiate the “noise” from what truly adds value.

  5. Directed Action: With the tasks already classified, we define what to do with each one. Some will go directly into your schedule, others will be delegated or eliminated, and the most important non-urgent ones will be planned for the near future. The goal is to identify the 1-3 crucial tasks for today and start there.

  6. Detailed Implementation We’ll use a simplified classification matrix that combines urgency and importance to define your “Action Plan”:

Step 1: Prepare your task list. Open a text document, a note, or a spreadsheet. Write down every task that comes to mind, one per line. Don’t judge yourself or try to organize them yet. Just empty your mind.

Example list:

  • Reply to supplier emails
  • Prepare monthly report (due 7/15)
  • Schedule meeting with marketing team
  • Review 2027 strategic plan
  • Buy coffee for the office
  • Call client X about inquiry
  • Update my LinkedIn
  • Learn new Excel function
  • Pay hosting bill (due today)
  • Clean out inbox

Step 2: Define Urgency and Importance for each task (with AI help). Now, we’re going to ask an AI to help us categorize. For each task, the AI will assign one of these levels:

  • Urgency: High (Requires immediate attention, has a very close deadline, or severe consequences if postponed) or Low (Can wait without critical impact).
  • Importance: High (Significant impact on your objectives, key results, or long-term goals) or Low (Minor impact, routine, administrative, or support-related).

The AI will use these criteria to help you make decisions and assign a “Recommended Action”:

  • 1. “DO NOW” Tasks (High Urgency / High Importance): These are your top priorities. They have a very close deadline or critical consequences if not completed. The AI will tell you: “Do it now!”
    • Example: Pay hosting bill (due today).
  • 2. “PLAN” Tasks (Low Urgency / High Importance): Key for your growth and long-term success, but without immediate pressure. These are often the ones that get postponed. The AI will suggest: “Schedule it for this week/next, block out specific time for it.”
    • Example: Review 2027 strategic plan; Learn new Excel function.
  • 3. “DELEGATE OR AUTOMATE” Tasks (High Urgency / Low Importance): These are often interruptions or administrative tasks that take up your time but don’t add direct strategic value to your main objectives. The AI will advise: “Find someone else who can do it, or how to automate it (e.g., email rules, templates).”
    • Example: Buy coffee for the office; Reply to supplier emails.
  • 4. “ELIMINATE” Tasks (Low Urgency / Low Importance): These add the least value; they are neither urgent nor important. If they don’t add value, why do them? The AI will tell you: “Delete this from your list or re-evaluate if it’s necessary!”
    • Example: Update my LinkedIn (if it’s not part of a clear and current job search or active networking objective).

Step 3: Give the list to your AI Assistant. You will copy and paste the prompt we provide and your task list. The AI will process your information and return an organized table with classified tasks and a recommended action for each, giving you a clear roadmap to get started.

Step 4: Focus on the “DO NOW” tasks. Once you have the table, first tackle the tasks marked as “DO NOW”. Then, schedule the “PLAN” tasks in your calendar. The “DELEGATE OR AUTOMATE” tasks will help you optimize your time in the future, and the “ELIMINATE” tasks simply disappear from your mental radar. You’ll see how that cloud of pending items begins to dissipate and your focus sharpens.

They save you the manual work of categorizing and give you a clear, concise plan, freeing your brain for what truly matters: doing the tasks, not just thinking about them. They are free in their basic versions and accessible from any web browser.

  2. Prompt to copy

Act as an expert productivity consultant. My problem is that I have many tasks and don't know how to prioritize them. Some have deadlines, others are important but without a date, some are small and create noise for me, and others are long-term goals. I need your help to classify my tasks and give me a clear action for each one.

Assume the current date is July 4, 2026.

Here is my task list. For each one, evaluate its:
- Urgency (High if it requires immediate attention or has a close deadline; Low if it can wait without critical impact).
- Importance (High if it has a significant impact on my objectives or results; Low if it is routine, supportive, or low-impact).

Then, assign a "Recommended Action" based on the following matrix:
1.  **High Urgency / High Importance:** "DO NOW" (Maximum priority, execute it immediately!).
2.  **Low Urgency / High Importance:** "PLAN" (Fundamental, schedule it for this week or next, define a time block).
3.  **High Urgency / Low Importance:** "DELEGATE OR AUTOMATE" (Find someone who can do it, or a tool that solves it automatically).
4.  **Low Urgency / Low Importance:** "ELIMINATE" (Doesn't take your time, doesn't add value. Delete it).

Present the response in a table with the columns: "Task", "Urgency", "Importance", "Recommended Action", and a brief "Justification" of why you assigned that action.
