It’s exhausting to feel like the chaos is winning before you’ve even had your first coffee—especially when you have multiple clients relying on you and feel like you’re putting out fires instead of actually working.

3. Suggested Tool: Notion + Artificial Intelligence (ChatGPT or Claude). Notion will be your single “Command Center” where all information converges so you don’t have to go searching for it. The AI will act as your personal triage assistant: its only job is to read through the chaos of messages and emails for you, extract what’s important, and deliver it to you pre-processed and ready to handle.

4. Step-by-Step Solution:

  • Build a Master Database (No more separate lists): Forget about having a separate page for every client. What you need is a single database called “Pending Actions.” For this to work, your database must have these mandatory properties:

    • Task Name: What needs to be done.
    • Client: A “Select” or “Relation” property with the names of your clients.
    • Due Date: When it’s due.
    • Status: (Not Started, In Progress, Review, Done).
    • Simple Priority: Only two options: “Urgent/Today” and “Later.” Don’t use five levels, or you’ll just get lost in decision-making again.
  • Configure your “Command View” for the morning: This is the secret to not wasting time. On your Notion home page, create a view of this database with strict filters. Set up a filter that says: “Show only tasks where [Due Date] is Today OR [Priority] is Urgent.” This way, when you open Notion at the start of the day, you won’t see all 50 pending tasks from the week; you will only see what truly requires your attention in the next 8 hours. If it’s not on that list, it doesn’t exist for your morning.

  • Implement the “AI Triage” Process (The end of infinite scrolling): Instead of jumping into Slack and reading every channel for every client, do this: once a day (or as soon as you receive something critical), copy all the messy text (the Slack thread, the email body, loose notes) and paste it into the AI using the prompt I’ve provided below. The AI will process that chaos and give you a clean list. Your only task will be to copy those points and drop them into your Notion database.

  • Golden Rule: The Quick-Entry “Inbox”: For those moments when you’re in the middle of working with one client and something from another comes in, don’t go to your complex database. Have a simple button or section in Notion called “Inbox.” Drop the link or the quick idea there without worrying about priority or the client yet. Only when you finish your morning “Triage” session do you process that Inbox and distribute it to the master database with its respective client and date.

  • End-of-Day Routine for a Stress-Free Morning: Ten minutes before shutting down your computer, check your “Inbox.” Move those quick notes to the main database and assign them their place. This way, when you sit down in front of your monitor tomorrow, your “Command View” will already be updated and ready so you can start working without having to investigate what happened overnight.
